For the curious
What’s under the hood.
readywhen is the assistant for owner‑led businesses. Unlike other AI assistants, you don’t need to be obsessed with AI to use it. But if you’d like to know more, here’s how it works.
The short version.
-
Connect the tools you already use.
Gmail or Outlook, your calendar, Slack, Notion, your call notes and 100+ more. It takes minutes, there’s nothing to build, and it only sees what you can already see.
-
It catches what you promise.
Every “I’ll send it Friday” and every “can you take a look?”, in email, on calls, in chats and comments. Including the ones you’d forget.
-
It builds a working memory of your business.
Your customers, your suppliers, what’s been promised and what happened next. It lives in your workspace and works for you alone.
-
It tells you the next move that matters, and helps you make it.
A draft, a chase, a warning, an honest opinion. Every suggestion shows its reasons, and nothing goes out without your OK.
Yes, it uses AI
AI gave every business unlimited interns. Nobody gave them the senior.
Tools like ChatGPT and Claude are brilliant. Highly capable, endlessly willing, and there whenever you ask. But like any intern, they need managing: you brief them, hand them the context, check what comes back, and next time they start from scratch.
So the more AI you add, the more everything depends on one person deciding what it should all do. You. Speed without direction is just expensive drift.
What changes things isn’t the eleventh intern. It’s the first senior in the room: someone who knows what you’ve promised and where you’re heading, and says “not that, this first.” That’s what readywhen is built to be. It never starts from scratch.

readywhen
Great creative thinking. But the quote you promised the Hartleys is due tomorrow, and they’re deciding this weekend. Ship that first?
Opinions with receipts: it always tells you why.
The difference
Other AI waits to be asked. readywhen doesn’t.
Built on the same kind of AI models as ChatGPT and Claude, but made for a different job: running alongside you, not waiting for you.

Getting started
You learn how to prompt it: what to ask, and how to ask it.
Connect your email and calendar. There’s nothing to learn about AI.
Setting it up
To make it do a job on its own, you build skills, workflows or automations, then fix them when they break.
It’s built for one job, keeping track of what you’ve promised, so it works from the first day.
When it works
When you open it and ask. Anything more needs a machine left running, or more setup.
All the time, in the cloud. It keeps catching and preparing while your laptop’s shut.
What it knows
What you paste in, or remember to tell it. You keep its picture of your business up to date.
It builds a working memory of your business as you go: customers, suppliers, promises and what happened next.
Who makes the first move
You do, every time.
It does. It comes to you with what matters today, and why.
Sending things
Whatever your setup allows.
Nothing goes out without your OK.
The questions people ask.
Why not just use ChatGPT or Claude?
Absolutely use Claude if you’re happy directing it: telling it what to do, when, with what context, like a capable, enthusiastic intern. If you want the senior you don’t have to babysit (one that already knows what you’ve promised and where you’re heading, and tells you the next move that matters) that’s readywhen.
Do I need to know anything about AI to use it?
No. You connect the tools you already use, and readywhen gets on with it. There are no prompts to write and nothing to build.
Does it send things without asking me?
No. readywhen drafts, chases and flags, but nothing goes out until you approve it. You can edit anything first, or bin it.
Does it join my calls?
No. readywhen never joins a call as a bot. It reads the notes and transcripts from the tools you already use, like Google Meet, Granola or Fathom.
What happens to my data?
Your data is never used to train AI models. It is encrypted in transit and at rest, hosted in the EU, and readywhen only sees what your connected tools already let you see. We are ISO 27001 certified and GDPR compliant, and our SOC 2 Type II audit is underway.
Does it learn about my business?
Yes, and that is the point. It builds a working memory of your business: your customers, your suppliers, what you’ve promised and what happened next. That memory lives in your workspace and works for you alone. It never makes readywhen smarter for anyone else.
Who is it for?
Owner-operators of small businesses, usually one to twenty people: agencies, studios, consultancies, trades, shops, practices and small software companies. If everything in the business comes back to you, it’s for you.
What does it cost?
During the beta, readywhen is free and unlimited. No credit card required.
Your data, plainly.
Your business is yours. So is everything readywhen learns about it.
